To keep application data clean and organized, you can use the Data purging option. Data purging allows Administrators to remove outdated applications and data that are no longer needed. This option can be especially helpful to prepare the system for new submissions when the previous academic term ends and a new term begins.

Data purging is performed per academic term. DreamApply deletes all applications within the term as well as system resources linked to them, such as offers, priorities and interviews. Applicant accounts and DreamID records remain in the system, so applicants can use them to submit new applications for upcoming terms.

Delete applicant accounts

Applicants or Administrators may want to remove applicant accounts from DreamApply. This can happen when:

An applicant wants to withdraw from all of their applications
An applicant wants remove their account but still wants to keep their DreamID for possible future use
An Administrator needs to remove an applicant account on behalf of the applicant

When an applicant account is deleted, DreamApply removes all data and resources for that account. This includes:

Request DreamID deletion

If an applicant wants to completely remove their presence from all DreamApply systems and portals, they can request to delete their DreamID. This action permanently deletes the DreamID record itself and all accounts linked to it.

Use this option with caution. After a DreamID is deleted, DreamApply cannot restore it.

When an applicant requests DreamID deletion, DreamApply removes the DreamID from the https://id.dreamapply.com/ portal and creates a data deletion request to remove the applicant account linked to the DreamID, including:

Confirm the right to be forgotten

When an applicant requests deletion of their account or DreamID, DreamApply does not immediately delete the applicant account. Instead, it creates a data deletion request that an Administrator must review and confirm.

Data deletion requests are displayed in the Data protection > Right to be forgotten section. Once an Administrator confirms the request, DreamApply schedules the permanent deletion. The account, along with all associated data and resources, is permanently removed within 24 hours during an overnight cleanup process.

View purge logs

To support system audits and internal accountability, DreamApply provides data purge logs. Purge logs allow you to monitor who initiated a data removal action and track details of each deletion, including:

Purged resource
ID and creation date
Deletion request and actual data deletion dates

Before you begin

To view purge logs, your account must have the Superuser role or the data-protection permission.

Access logs

To view purge logs, under Data protection, select Data purge logs.
