User roles

The DreamApply portal is designed for different types of users that take part in the admission process:

Website visitors
Applicants
Administrators
Advisors

Each user role controls which functional areas users can access, what data they can view and edit and what actions they can take.

DreamApply does not offer a separate mechanism for managing user roles. All website users are considered website visitors until they log in to the system. Once logged in, DreamApply dynamically assigns users one of roles based on their credentials and actions.

Authentication and sessions

Users with different roles can log in to the DreamApply portal in the following ways:

Applicants: In the top right corner of the DreamApply portal, click Sign in/Register. On the mobile version, in the top left corner, click the main menu icon and select Sign in/register.
Administrators: In the bottom left corner of the menu, click Admin login (on both desktop and mobile versions).
Advisors: In the bottom left corner of the menu, click Advisor login (on both desktop and mobile versions).

Session management

When a user logs in to DreamApply, they are granted a session, which allows them to perform actions associated with their assigned role.

Resource access policies

In DreamApply, Administrators can have full access to system resources or have their access restricted to specific ones. This type of access control is managed through resource access policies.

A resource access policy determines which system resources an Administrator can access and manage. Policies complement role- and permission-based access control. As a result, Administrators can efficiently perform their tasks without access to unrelated system resources.

Types of resources

DreamApply allows configuring access policies for the following types of resources:

Share-based access

In DreamApply, Administrators can use links shares to give external parties access to resources without requiring them to create an account. Link sharing can be useful in scenarios when it is necessary to share or distribute resources for a limited time. For example, an Administrator may share an application with a reviewer involved in applicant evaluation.

Links shares can be used for the following resources:

Applications
Scoresheets
Tables
Invoices (legacy sharing is used)

Administrators can share resources via an email address or by copying a shareable link to send to a recipient. Each share is assigned an expiry date.

Define registration settings

You can customize the applicant registration process to make sure it meets the needs of your institution. In particular, you can allow applicants to define their types while registering and specify what information you want to collect.

Before you begin

To customize the registration settings, your account must have the Superuser role or the instance permission.

Adjust the registration page settings

To adjust the applicant registration process:

In the main menu, under System, select Settings.
In the Registration page settings section, under Applicants types, define the types applicants can choose while registering.
Specify if you want to display the Mobile phone and Reference code fields on the registration page.
At the top of the form, click Save changes.
